Business Development / Proposal Coordinator

We are a collaborative architectural practice seeking a full-time experienced Business Development / Proposal Coordinator to join our growing firm. The successful candidate will be a key member of the business development team and will work closely with the Principal-in-Charge of promotional interests, with the goal of gradually assuming greater responsibility for the development of proposals and maintenance of a comprehensive business development management system.

Business Development:

  • Lead the development and maintenance of a business development management system using Vantagepoint;

  • Lead efforts to transition to the use of OpenAsset for digital asset management and see to its integration into the business development workflow;

  • Work with project teams to collect relevant material for databases and proposals;

  • Promote AOA’s services through print, digital, social media, and other opportunities;

  • Coordinate business development objectives with the firm’s social media communications;

  • Track opportunities for posting to relevant websites and coordinate content with the Senior Graphic Designer and social media committee;

  • Track opportunities for announcements and publications, and prepare notifications to relevant media outlets;

  • Assist in the preparation of materials for media interviews and speaking engagements;

  • Monitor opportunities for awards submissions and collaborate on the preparation of submission packages.

Proposal Coordination:

  • Plan, manage, and coordinate the proposal process from start to finish;

  • Monitor and identify project opportunities (EOIs, RFQs, RFPs, etc.) that align with the firm’s business development objectives;

  • Plan the work involved in generating the response document; develop the initial response strategy and outline; coordinate meetings, deliverables, debriefs, etc.;

  • Lead the development (in conjunction with the business development team and principals) of proposal content, including: writing, editing and proofreading; layout and formatting; selection of images and graphics; generation of illustrative material as necessary;

  • Coordinate prospective consultant team members to generate material as required;

  • Assist in the creation of presentations for interviews;

  • Regularly update foundational proposal and promotional materials, and produce new material as appropriate.

Skills & Qualifications:

  • Have experience (min. 10 years) in a business development, proposal and/or marketing coordination role—preferably within the architectural industry;

  • Be proficient in the use of OpenAsset and Vantagepoint;

  • Be proficient (advanced level) in the use of Adobe InDesign, and be skilled in the use of Adobe Photoshop and Microsoft Office (Word, Excel, Power Point);

  • Be highly organized, efficient, analytical and resourceful;

  • Demonstrate outstanding writing ability and have excellent proofreading skills;

  • Demonstrate strong graphic design sensibilities;

  • Handle multiple assignments concurrently and be accountable for work performed;

  • Hold a post-secondary degree or diploma in marketing, communications, journalism, or equivalent.

  • A Certified Professional Services Marketer (CPSM) designation from the Society for Marketing Professional Services (SMPS), or certification with the Association of Proposal Management Professionals (APMP), is preferred.

Salary, Benefits and Perks

The starting salary will be $80,000 or more, commensurate with experience and ability.
