Receptionist

Acton Ostry Architects is seeking a full-time Receptionist to join our growing, team-oriented practice. The successful candidate will become a key member of our administrative team and will be responsible for a variety of tasks and initiatives essential to the successful operation of an architectural office.

Established in 1992, Acton Ostry Architects is a leading Canadian architectural practice recognized for the design of eloquent and inspiring buildings. We have a rigorous and collaborative approach to our work which includes diverse educational, community, residential and worship projects. Our 35+ member team works in a bright, spacious, open-concept studio in the heart of vibrant, eclectic Mount Pleasant.

What We’re Looking For

  • manage office front desk, facilities, security and telecommunications systems

  • manage office inventory, supplies, furnishings and equipment

  • oversee office service providers such as cleaners and maintenance crews

  • coordinate travel arrangements, internal and external events

  • maintain in-house forms, libraries, databases, hard and digital filing systems and archives

  • assist management team with internal human resources communications, onboarding and termination processes

  • serve as office technical support and coordinate with the office IT provider, including but not limited to the following:
    - assist with hardware, software, and network setup and maintenance for workstations
    - perform troubleshooting diagnostics to help determine the best solution and walk staff through the problem-solving process, then direct unresolved issues to management
    - record accurate information on IT products or services
    - identify and suggest possible improvements on procedures
    - provide general administrative support on projects as needed

Qualifications:

  • 2+ years’ experience in an office environment—familiarity with architecture, engineering or construction industry is an asset

  • excellent written communication and interpersonal skills

  • strong organizational and multi-tasking skills with accuracy and attention to detail

  • tech-savvy ability to work in both Mac and PC environments, and adept at learning new programs

  • proficiency with Google Suite, Microsoft Office, virtual meeting platforms (MS Teams, Zoom, Webex)

  • knowledge in social media, WordPress, MailChimp, InDesign and Photoshop would be an asset

  • good judgment and discretion when dealing with confidential information

  • ability to work well independently or as part of a team, with a self-motivated approach that requires minimal ongoing supervision to maintain standards and achieve objectives

  • ability to perform under strict deadlines

  • academic history that includes some post-secondary education is an asset

Salary, Benefits and Perks

The starting salary will be $50,000 or more, commensurate with experience and ability.
